Contacts & Outreach Tracking

Know who you’ve reached, how, and who booked

A show is won in the eight weeks before it, one contact at a time. EventsGO keeps the target list, records every attempt to reach each person — by e-mail, on LinkedIn, through the event’s own app or WhatsApp — moves them through the pipeline as they answer, and shows the team where outreach stands, by person, by category and by channel.

  • Import that adds new people only
  • Category and priority on every contact
  • Reach: e-mail, LinkedIn, event app, WhatsApp
  • Pipeline from New to Meeting completed
  • Outreach dashboard by category and channel
  • Bounces where the address is shown
  • Exports with the event named
  • The same list on the iPhone app

Included in every plan; Apollo & Lusha use your own keys, and AI lead scoring is in the AI Suite.

The list, without the duplicates

Import a speaker list or an attendee export and EventsGO adds the people who are not on the event yet, leaving everyone else as they are: a row that matches an existing contact by e-mail, LinkedIn address or name and company is skipped, a name-only match is shown as a possible duplicate you can add anyway, and the dialog says how many are new before anything is written. One person who turns up at several shows is one person, with their history.

  • Add-only import with a preview of new, existing, possible duplicates and invalid rows
  • Category — Customer, Partner, Research & Analysis — and priority on each contact
  • Merge duplicates; one person across events
  • Owner, region and stage kept in step with the meetings

Every attempt, recorded

Log outreach from a contact’s card in one click — the channel you used, a note if you want — or for a whole selection at once. E-mails EventsGO sends on your behalf are logged by themselves. The Reach column shows which channels were tried and how often, the list filters by Reached via, and the first attempt moves a New contact to Attempting.

  • Channels: e-mail, LinkedIn, the event app, WhatsApp
  • Reach counts per contact, filterable
  • Stages: New → Attempting → Connected → Meeting requested → Scheduled → Completed
  • A bounced address is marked wherever it is shown

Where outreach stands

The Outreach Dashboard answers the question leadership asks in week six: how many people have we reached, how many answered, how many booked? It breaks the figures down by category and by channel — how many contacts each channel reached and how many of them got a meeting — and when opened from a filtered list, covers just those contacts. The same figures sit on the iPhone app’s Dashboard tab.

  • Sent → replied → booked, as counts and as a share
  • By category and by channel
  • Follows the list’s filters
  • Cards above the Contacts list that count the filtered group

Into the CRM, with the event on it

Contacts and meetings export with an Event column and notes that name the show, so a CRM that keeps notes as free text still shows where the contact came from. With HubSpot connected they sync both ways; without it, the import package builds the files in HubSpot’s own format for one event. Work e-mails and firmographics can be filled in through your own Apollo or Lusha key.

  • CSV / Excel export with the event named
  • HubSpot sync, or the per-event import package
  • Apollo and Lusha enrichment with your own keys

Frequently asked

Does an import overwrite what we changed by hand?

No. An import adds new people only; a row that matches an existing contact is skipped and shown in the preview. Updating existing contacts from a file is a separate, deliberate step.

Does EventsGO send the LinkedIn messages or WhatsApps?

No. Those you send from your own LinkedIn or WhatsApp; you log them on the contact in one click so the team sees they happened. E-mails EventsGO sends — invitations, confirmations, campaigns — are logged automatically.

Who sees the outreach figures?

Everyone on the event’s team sees the dashboard; a Member sees it for their own contacts, a Manager or admin for everyone’s. The AI lead scoring on top of it is part of the AI Suite.
