Meeting Scheduling & Conflict Detection

Every meeting checked the moment it’s booked

EventsGO keeps one live schedule for the whole delegation and re-checks every attendee and room the instant a meeting is created — so a double-booked executive is flagged in planning, not discovered at the stand.

  • Person & room conflict detection
  • Executive timeline & optimizer
  • Drag-to-reschedule
  • Two-way Google & Outlook sync
  • Automatic .ics invites & reminders

Included in every plan.

Conflicts caught at booking time

When a meeting is saved, EventsGO checks every attendee’s timeline and the room. Overlaps are flagged with the exact duration and who is affected — including meetings still waiting for confirmation, so a tentative slot can’t quietly turn into a real clash later.

  • Overlaps across confirmed and waiting-for-confirmation meetings
  • Room and booth-space collisions
  • Per-owner view so each rep sees their own conflicts

Schedule around your scarce people

Executives are the bottleneck at every show. The executive timeline shows each person’s day at a glance, and the per-person optimizer flags overload before it happens. Drag a meeting to a new slot and every attendee’s invite updates.

  • Executive timeline per person
  • Optimizer flags overloaded people and gaps
  • Drag-to-reschedule with automatic invite updates

Calendars that agree with each other

Team members connect Google or Outlook. Busy time from their calendar shows up as a conflict inside EventsGO, and EventsGO meetings land on their calendar — two-way. Every booked meeting sends a personalised .ics invite and a day-of reminder to the other side.

  • Two-way Google & Outlook busy/conflict sync
  • Calendar feed (ICS) for any other calendar app
  • .ics invites, reminders and one-click RSVP

One schedule, on every phone

The iOS app shows each rep their next meeting, where it is and what changed — offline-first for venue Wi-Fi. A reschedule made at the stand is on everyone’s phone instantly.

Frequently asked

Does conflict detection include meetings that aren’t confirmed yet?

Yes. Meetings waiting for confirmation count as occupying their slot, so you are warned before a second booking can collide with them.

Will it see meetings from my Google or Outlook calendar?

Yes, with calendar sync connected: busy time from a connected Google or Outlook calendar is treated as a conflict, and EventsGO meetings are written back to that calendar. Calendar sync is part of the Content & Sharing package and included in the Scale plan.

Can prospects book a slot that’s already taken?

No. The public booking page only offers slots that are actually free for the chosen owner, so self-booked meetings arrive conflict-checked.
