Get Trade Show Meetings Into Outlook — and Keep Them Current

The schedule nobody sees is the schedule nobody keeps

A meeting that lives only in your event tool gets missed. People live in Outlook, Gmail and their phone's calendar; if a booked meeting isn't there, it doesn't exist for them — least of all for the executive who flies in for two days and has never opened the tool.

There are three ways to get trade show meetings into everyone's calendar. Most teams need two of them.

1. A calendar invitation for every meeting

The meeting with the prospect should go out as a real calendar invitation — an .ics request, not a line in an email. Done right, Outlook and Gmail show their own Accept / Decline bar, the prospect's answer comes back to the organiser, and your own people are on the same invitation, so the meeting lands in their calendars too.

Two details matter:

  • Send it at the venue's time. A 15:00 meeting in São Paulo should appear at 21:00 in the Istanbul calendar of a colleague who hasn't travelled yet — not at 15:00 local time.
  • Send a cancellation when the meeting is cancelled. Deleting a meeting in your event tool doesn't remove it from anyone's calendar; only a calendar cancellation does.

2. A personal calendar subscription

Invitations cover the meetings you are invited to. A calendar subscription — an ICS feed — covers everything else: one link per person that shows every meeting of the event they can see, updated as meetings are booked, moved or cancelled. It is read-only, needs no IT approval and works in every calendar app.

How to add one:

Outlook. The desktop and mobile apps have no option to subscribe to a link, so do it once in Outlook on the web: open Calendar at outlook.office.com (or outlook.live.com), choose Add calendar → Subscribe from web, paste the link, name it and click Import. Within a few minutes it appears under "Other calendars" in Outlook on your desktop and phone as well. Outlook refreshes it about every three hours.

Google Calendar. Next to "Other calendars" click + → From URL, paste the link and click Add calendar. Google refreshes subscribed calendars every 12 to 24 hours, so a change can take that long to show.

Apple Calendar. On a Mac: File → New Calendar Subscription, paste the link and set auto-refresh to every hour. On an iPhone: Settings → Calendar → Accounts → Add Account → Other → Add Subscribed Calendar.

Then make the entries useful at a glance:

  • Your meetings busy, everyone else's free. Mark the meetings you own or must attend so they block your day; show the rest of the team's meetings as FYI so they don't.
  • Put the context in the entry: who you are meeting and their title, the purpose, the agenda, the place, and a link back to the meeting.
  • Leave out what shouldn't travel. Anyone holding a subscription link can read it, so keep contacts' email addresses and private outcomes out of the feed, and make the link easy to reset.

3. Two-way calendar sync

The third option connects each person's Google or Microsoft account, so the event tool can read their busy time and write meetings straight into their calendar. It is the most complete and the heaviest: it needs every person's consent and, in most companies, an IT admin's approval of an app that reads calendars. It earns its keep for a large delegation that schedules around many outside commitments; for most shows, the invitation and the subscription already put every meeting in front of the right people.
